easy.affiliate Administration Handbook - current as of July 2015

Preface & general information about the easy.affiliate system

Note: Only the data that have been released for access are included. Find out more in the menu under "Control Panel => User Management"

Different data can therefore be displayed for each user.
In single-programme solutions (easy.affiliate light), some things are not active - because it is a single programme solution.
In this handbook we are now assuming full administrator access to all activations (permissions).

The easy.affiliate system is available for publishers in a total of 10 languages ​ - additional (unlisted) languages ​​can be added at any time:

Admin Overview - Dashboard 

After logging in you can see an overview of the key figures of private networks, totalled by views, clicks & open, confirmed, and cancelled transactions.
There are several tabs on which you can view relevant information.
In addition, you will find a Supportbox on the dashboard, where you can find all the relevant information to contact us; the Admin and Publisher Wiki is also directly linked there.

You will also find a campaign chart with the highest level of turnover and a publisher chart on the dashboard.
In the charts, you can also select the desired period; the default is always the current month.

Under the histories tabs you will also find the latest news that we are presenting.

Service Selection & Search Box

At the top of the login page in the admin area, you will find the selection options for booked services in order to be able to go directly to a corresponding admin interface from there.
A targeted search for a publisher is also an option here; simply enter the name or the advertising space and the publisher lists will be displayed according to filter.

Publisher List

The publisher list not only gives you a list of all publishers, but it also has very comprehensive filters for a specific search for publishers.

Channel Filter

You can assign a channel to each of your publishers. Examples of channels are - Affiliate, SEM, Postview, credit, cashback etc.
Assigning a publisher to a channel is, for example, also very important for the customer journey to be able to present an optical differentiation of the individual channels here.

Client Filter

Each client can have multiple advertisers among themselves and in turn more programmes (campaigns).
Layouts are also driven via the client, which the publisher can then see.

Advertiser Filter

The advertiser is the programme owner, who in turn can have several programmes here.
With this filter setting the publishers who have an established connection with at least one of the advertiser's campaigns are limited.

Campaign Filters

With this filter you can define which publisher is active in a single programm.

Commission Groups Filter

Which publishers belong to a particular commission group - this filter setting requires a pre-selection in a programm

Filtering Publishers with Credit

With this filter you will only receive publishers in the list who are currently available in the account via credit balances. (Balances = shared commissions which are not yet paid)
You can thus see an overview of whether all publishers have reached the payout, or whether data still need to be supplemented here.

Registration Date Filter

Which publishers are registered in promotional period X, for example.

Project Status Filter

Of course it may occur that you do not want to see the most active publishers, but want to look at the projects that have been rejected by you (or another administrator).
Simply activate this filter for this.

Free Text Filter

You can search by name, websites, or IDs here that, for example, notify you of a publisher in a support case.

Country or (corporate) seat - from where the publisher comes. If you move the mouse over here, you will also see which language the publisher has set and to which country the payment is going

Login to the publisher account - in the case of support it is a very useful function to have the same view as the publishers and thus be able to answer the question better.


Publisher Connections

Which publishers are active in a programme - what commission is deposited for what publisher?

The connection list gives you the answers to such questions.

You must observe the standard filter campaign here because the relevant programme will be displayed there for the publisher.

Important: To view your list by one (or more settings) click on the button Create List so you are really shown the connections that you want to edit or view.

In the status filter you can also display publishers with their status: rejected, cancelled, waiting for activation, and without partnership.

If you would like to edit a connection, highlight the respective select box on the left next to the publisher ID.

If you would like to globally apply the change to all projects by this publisher, you can use the dropdown settings next to the name of the publisher, or otherwise use the dropdowns next to the project you would like.


In the example below, you edit only the connection from project 50037 with the website and not all the pages by the partner.
This allows you to specifically change the status, adjust commissions, or - if Postview is enabled - enable or disable the individual pages for Postview.

You can find information on the commission settings (commission groups), under the menu item "Campaign Control Centre | Commission Settings"


Create Publisher

Create a new publisher manually by entering all relevant data (coloured fields marked with *).

Note: There are generally 2 forms of address here, first the relevant billing address, that is, whether it is a company or not - in this case only the company is listed on the credits if address = company is selected.
Then there is the personal form of address for the contact person (or account owner):


Publisher Activation

All newly registered (even registered ones that you have not created) publishers appear in this list - this menu item is disabled for customers, who only receive publishers on the invitation in the system


By clicking on the visitor card icon next to the name, you receive more information about the publisher.
If you would like to now activate the publisher, click on the green tick and confirm the activation by clicking on OK.

A window will now open in which you (unless in network mode) can directly set the links to your affiliate programme.


Click in the window in the check boxes where a connection should occur and then create the commission group.

After you have made these settings, click on Save in the bottom right.

You will now receive a confirmation of the successful activation and the publisher will receive their confirmation activation email (see also the menu item "System-Mail templates")

In the event the partner rejects it (click on the red cross in the activation list), you can still specify a reason for the rejection, which the publisher is then notified of via email.


Publisher Billing 

The billing system for your partner creates the payout by a button and generates all credits as well as the payment medium in SEPA format.
Enter in the Client field what should be billed (only relevant with the multi-client system)
In the field To enter which confirmed transactions should be billed, in our example everything until 30.06.2015 - those from July 2015 then remain in the account as confirmed, non-paid transactions.
The Billing Cycle field - pre-filled with the previous month in English - please fill in the service period of payable commissions here.


After you have checked in the overview that everything is correct, everything is automatically generated by clicking on "Perform payout".

Tracking Channels 


Assign a tracking channel to your publishers to track the success of individual channels in the statistics.

Examples: SEM – SEO – Affiliate – Cashback – Credit – Mobile – Print – Social Media e.t.c.

This assignment is also taken into account in the customer journey - you also have a nice overview here through the different icons of the channel-mixing in a transaction.



This mode is only useful if you use the easy.affiliate software as a network variant - in other words, a publisher on the network can apply for individual campaigns.
You will receive an overview here of which partner is waiting for activation in the campaigns.
You can then quickly and easily edit the open applications on the campaigns and activate the partnerships by assigning the commission group (or rejecting it)

Important - Please ensure you assign them to the right commission group when activating a partner.

Publisher Invitations


You want to invite a publisher to your private network?

Then use this menu item. Simply fill in the appropriate fields and the publisher receives a personalised referral link.
You will also see all open, already sent invitations for which the publisher has not yet applied.

Menu - Campaign


This menu item will take you directly to the Campaigns Control Centre, where you can adjust all the relevant settings. Only single-programmes receive this menu item. If you do not have it, you can find the way to your control centre under "Advertiser".
A functional description of the individual items can be found in the section located under "Advertiser"


Advertiser List


You have access to all clients, advertisers (merchants), and campaigns located in your system here.
Click on the title to go to the campaigns control centre, where you can adjust all the relevant settings for an affiliate programme. We will go into this in more detail in the next point.
In addition to the open amount of commission, you may selectively display the statistics of an advertiser in the quick access, or create or edit a single access for an advertiser  (More info under "User Administration" and "Authorisation Groups")

Under Actions, you will find the following links

Campaign Control Centre


The campaign control centre is sometimes the most important item in terms of your campaign, advertising management, and much more.
On the overview page you will see a brief but useful overview of the selected campaign. Here you can see information about the transactions, statistical values, ​​and a combined monthly overview.

Short explanation:

Advertisers and campaigns can be identical, but in the system they differ as follows:
The advertiser is always present and should be seen as the "account owner".

The campaign is the actual partner programme that is offered. It may be that there are several campaigns to choose from which are advertised individually.

Admin-Campaign-switch-EN.png In the upper section above the TAB navigation, you can change between campaigns if the merchant has several campaigns in order to be able to make changes to each campaign.
A new campaign can also be created in this way. If you operate more than one campaign, the bottom left registration link is also of interest. With it publishers can sign up specifically in the system and also apply directly to the campaign.

In the default settings all of the basic information is stored on your programme. Information is given to the programme here - the programme title, programme description, & programme rules (they should always be saved in the local language and in English at least)
You can store this information in any language you actively use in the system (more about this: existing languages ​​in the preface)You can also enter the URL to your affiliate programme; if you need a separate screenshot URL, you can also store the URL. (Some systems block crawlers)

The standard tracking url is the URL in the case of a mandatory required parameter transfer of a tracking turnout required for modulation of the tracking pixel.

Now we come to the second part of the default settings:

Adjustments to the settings are made here as:

Marketing countries, category & tags (generally only of interest in the network version)

Your campaign logo can also be uploaded here. Please however take note of the size.

You can also adjust the following settings here:

Tracking cookie mode: Last cookie wins (standard) or first come first serve

Order unique logic: Order ID Unique is the default here - in very rare cases there is no clear order ID transmitted, which also means that the orders may accrue twice if the page is reloaded.

Cookie time: Click duration of your click cookie (default is 30 days)

Noncookie to Project 1 In the event of the use of a tracking point it is advantageous to have orders accrue - which cannot be assigned by the network - to the system partner ID 1.
This means if necessary you will notice errors in the promotional materials or tracking points more quickly. If yours does not have a point in use, this setting should remain deactivated because otherwise ALL orders that did not come via a publisher will be entered into the system and assigned to partner 1.

Postview mode: 

  • disabled - no publisher can use Postview
  • Postview enabled systemwide - all publishers receive the Postview option (not recommended)
  • Postview enabled for selected partners - we recommend this option from experience in the event that you would like to use Postview. You yourself will connect only the partners who you think are worthwhile.

Postview cookie time: We recommend a maximum run time of 3 days here

Postview HTLP: HTLP stands for high traffic landing page - and is used as the setting for a cookie on your page for your tracking point.

Enable tracking geofilter Enable this filter to exclude specific countries or only to track conversions that takes place from one of the countries. This is controlled via a blacklist (excluding the selected countries) or whitelist (only tracking from these countries)

Tracking mechanism This should remain available as standard on redirect; changes to this option require mandatory advanced settings on your pages!
Contact our support team in the event of interest in referrer tracking.

Status / Campaign Modulation: These settings should also remain unchanged - please contact our support if you have any questions

Autofr. Publisher Only interesting for easy.affiliate network mode - campaign applications are automatically activated here

Pub. SEM allowed Mark checkbox for YES (applies only in network mode)

Autofr. Orders (or cancellation) You can enter the number of days after which the transactions are automatically set by the system to "activated" (or cancelled). By default this option is disabled, so you can expect no "forced activations".
If you want this option, we recommend 45 to 60 days.
Note: In the commission settings, you can define specifically for individual triggers (events) how an auto-confirmation or cancellation should be handled. The trigger setting then applies before the default setting

Click parameters: Global opportunity to attach a parameter to every click link without replacing any existing advertising material. Publisher information (Project ID or User ID) can also be transferred here if desired. Simply ask our support team

Currency: The currency settings (default EUR) - if you are active outside of a EUR country, make sure to set the currency that you are transferring to us. Our system receives the exchange rates every day from the ECB and calculates the transactions according to the valid rate.


Campaign Control Centre | Commission Settings


With the commission matrix you have a complete overview of your active compensation settings.
You can see an overview here of which commission groups in which trigger (event) will be reimbursed.

Triggers are the types of remuneration which may apply in your programme. In a shop there is, for example, a "normal" sale of 5% and a new customer bonus of 2 euros - therefore we would then define the default trigger as a sale with 5%
The new customer bonus would be a further trigger for which 2 fixed euros apply. The modulation for which trigger must be released is issued to us when the tracking code is accessed again.

Groups are the commission groups which are assigned to the publishers. You can thus specify what the remuneration of a trigger should be in each commission group.
Example: In addition to "normal" publishers who advertise for you, you would also like to accept coupon sites, but with less commission - in addition there are also premium businesses that should receive more.

In your programme there are therefore at least 3 commission groups:

1. Standard (5% sale / 2 euro new customer)
2. Credit (4% commission / 1.50 euro new customer)
3. Premium (6% sale / 3 euro new customer)
4. Tracking (We always recommend this commission group for the system partner or testing and the trigger here each with 0 EUR / 0%)


Campaign Control Centre | Commission Settings | Trigger Settings 


By clicking on the appropriate trigger, you can manage the commissions of each group or change the status of the trigger. The tracking code to be integrated on your page will be displayed here. The following settings are available here:

Trigger type:

  •  Lead - e.g. for registrations
  • Sales - e.g. shopping in the shop
  • Click (CPC) - price comparisons partly like to work with the remuneration model
  • 1000 views (CPM) - display advertising


  • Deleted - a trigger that is no longer valid (e.g. elapsed promotions)
  • Disabled - an action that possibly can only be stopped in the short-term, or will be going online soon and has not yet been communicated to the publisher
  • Active - this trigger will be communicated to the partner and remunerated accordingly
  • System partner tracking - the conversions of this trigger are recorded in the system, but not transmitted to the partner, instead it accrues on the PID 1 - the system partner. This is interesting, for example, for measuring "how many new customers would enter via the partner programme"

You can also define the status for individual commission groups - this means you can, for example, offer the new customer compensation only for premium partners; all others then receive this new customer trigger set to disabled.

Autofr. Orders & Auto Cancellation Orders: Here you can define whether, for example, the newsletter subscription should be automatically activated after X days. Auto cancellation is useful if you have payment orders, for example, and which remain open in balance. This means you can say that all orders that are open longer than 90 days are then cancelled because payment is no longer expected. These orders then do not continue to appear on the comparison lists.

campaign_id=CAMPAIGN_ID - The campaign_id is filled automatically
trigger_id=TRIGGER_ID - You can find the trigger ID on the left side next to the name, but it will also automatically be pre-filled with the appropriate trigger in the tracking code
token=ORDER_ID - this parameter is to be filled by you - the unique order number belongs here in order to have a clear assignment
descr=DESCRIPTION - You can also include a description which will provide additional output to the partner
turnover=TURNOVER - This is the net value (e.g. transaction value) of the entire transaction. This information at the % of the compensation is mandatory, otherwise it is a purely statistical value.
t=js or img - this parameter indicates whether the code was accessed via JavaScript or IMG and it is automatically added to the tracking code


Campaign Control Centre | Commission Settings | Commission Group Settings


Processing the commission group works similar to the trigger setting, except here you can edit any trigger to this group at a time.

Campaign Control Centre | Advertising Management


 In advertising management, you adjust all settings that affect your advertising material. For a better overview of the advertising material provided by you, categories (and subcategories) can be set up.
You see each category on the left side; by right-clicking you go to an expanded menu to apply the category edit or additional (sub) categories.

Below the categories you have the option to export all advertising material as XML or CSV to change something in all advertising media (e.g. a parameter in the target URL)
A return import of the previously downloaded list is also possible here.

At the bottom left, you will find the advertising material search in which you can either enter the ID of the advertisement or the title.

Promotional Products Category - Editor 


Setting restrictions:
Set the activations that are in this category containing advertising materials. If no restrictions are needed here, this category will be displayed to all publishers (default setting)

The following restrictions are now possible here:
Publisher filter active (checkbox must be marked here) Now select the desired publisher or publishers that are allowed to see this advertising media displayed to them.

Rather than a restriction on (individual) publishers, you can also activate a commission group filter. The same applies - you need to check the box for this filter.
You can thus, for example, make this advertising media accessible to all publishers you have classified as premium publishers.

Fallback Mode: If the advertising medium is only valid to a limited extent, you can define what should happen after expiry and set an appropriate fallback mode (for example, select an alternative category)

Validity Settings:

If the stored advertising material only has a certain validity, you can adjust these settings here. It is also possible to specify only a "from" or "until" date.
In order for the publishers to have a little lead time, you can set the visibility for the publishers. Simply enter the number of days for how many days before the ad should appear in the account.
The advertising materials function themselves, but only from the date of validity!

Display / Edit / Add new advertising material

After you click on the category, you will see the current advertising material ID contained in it. All advertising material is automatically given an ID assigned by the system that you see there.
The ID is transferred with every view and click in order to offer the advertising material statistics

In the advertising material overview the following actions are available:

  • Status - is the advertising medium active or disabled
  • Validity - The ad will appear only during this period
  • Reports - Simply click to go directly to the advertising material statistic
  • Preview of the advertising material
  • Editing the advertising material
  • Deletes the ad

If you create a new advertising medium, you must determine beforehand what kind advertising medium you want to create:

TYPE: Which advertising media type is it - the following are available:

  • Banner - GIF / JPG / PNG ... popular graphics banner
  • Text - text advertising materials
  • Flash - Flash advertising material
  • HTML - HTML advertising media such as search boxes
  • Newsletter - Make the publishers newsletter templates available - for example, current promotions - new product ideas ...
  • Tracking - This advertising material is NOT officially offered to the publisher. They are more for the newsletter template as additional deep links in the newsletter - to then be able to link to the company's legal notice, for example.
  • Video - Video ads can also be integrated
  • Voucher - Vouchers for the publishers


Delete advertising material: To do this, simply click the delete icon under Actions next to the advertising material. But note that publishers who have integrated this may have an error on their site if no fallback advertising material is available.

With the link "Fold all out / in", you can display all the advertising material contained in the category - you will also see the target URLs as well as a preview of the advertising material.

Advertising Materials - Import

You also have the option of creating advertising material in a CSV list into our system. In the first step, select the file and set the correct separator & encapsulation


Now click Save File - this will take you to the assign field, in which you specify which of the fields belongs where. (If you have previously made an export of advertising material, all fields are automatically recognised)


Now just click Save File and the advertising materials are imported in the system.

Campaign Control Centre | Product Data

In many areas, a list of products is imperative - thus also provide your publishers in the private network with a list of products.
There are no restrictions on the number of lists that you provide!

Title: Simply enter a title that will also be displayed to the publisher in the case of visibility. If you would only like to provide the list for individual publishers, use the title "Master Feed" here
- The actual assignment for publishers namely does not occur until the "Child feeds" step

Feed URL: The URL to your product list. In the case of a file that is only accessible with access data, the link should look like this: http://user:pass@domain/product.csv (exemplified here as a csv)

Feed Type: Here you can select the format of your product list; you can manage and integrate the following standard formats yourself:
CSV - XML ​​- JSON - BSON - for other formats please contact our support team

Compression If your product list is not packed, then you can leave it on None (default), otherwise please use the compression method (among others, .zip - .tar .gz and more are available)

Visible for Publishers

  • Visible - If all your publishers have this list unfiltered and without
  • Publisher restrictions should be displayed
  • Hidden - Please use this if the list should still be filtered or publishers should be specifically set here

Now click "Load File" - it can take a moment, depending on the size of the file.

You will be taken to the port for field mapping:


All fields contained in the product list are now displayed. Now select the correct fields in the pulldown.

--- Extra Field ---  means that there is an additional field, which is appended to the end.

--- No import ---  this field is ignored when importing and thus is not available to the publisher

Import Interval You can now determine how often the product list should be updated. You can choose from: Hourly, half-daily, daily, weekly, and monthly. If this is not sufficient, please contact our support team

Now click on "Save Feed". The product list is now in the system and will be imported.
If you need no restrictions and visibility has been set to visible, you have now finished recording the product list

Campaign Control Centre | Product Data - Publisher Activation / Filter Products 

If you have created a "master list", proceed as follows:
1. Click on the newly created list (in our case on the left under Active feeds) – the Shopping Product Feed.
You will now see the following:


When the import is completed (this may take several minutes) you can see the date of the last download and an item number.

Now click on "Add Child Feed"

Use the publisher filter:
We now explain which publishers get access - if all publishers should see the list, do not change anything here and use the other filters.
You can now either filter out by category, filter item numbers, or as in our example, filter out all items in which the word "trousers" appears - to finish, click on Save Child Feed

The newly created child feed list is now visible for the specified publisher and, as can be seen in the screenshot here, also has fewer items (filter items with *trousers*)


The publisher can now download the product list in CSV - XML ​​or XLS format (complete as offered by you (filtered)), or they can set filters themselves, if for example they only sells women's blouses and all other items are thus not applicable for them.


Advertiser Connections

In the case of an easy.advanced or easy.professional solution, you can see which publisher is connected to which campaign and what the corresponding commission groups are there. You can also view and edit the postview status (if enabled in a campaign) here.
You can either change the settings immediately or save them time-controlled.

In the publisher filter - on the far right - you can select the desired publisher. Changes to the status - The commission group or postview status can be selected using the pulldown and performed by clicking on the floppy disk icon (Save).
By clicking on the calendar icon, you have the option of either selecting a start date if, for example, the change should apply from the 1st of the next month, or select a start / end date if this is a temporary action.





Statistics - Filters and General Information

Before we show you the statistics themselves, we would like to show you the statistics filter. With the filter settings, you can create the statistics exactly as you need them for your evaluations.

Information on the basic setting of the system:
For the "normal" statistics that you will likely need in your daily evaluation, all filters which would make a limitation on the display are disabled. Thus the statistics you will always receive are all values ​​for this period for all partners, all campaigns and all transactions are displayed that have been generated in this period.

When you access the statistics (the same for all statistics), you will also see "Standard Filter" besides the time period filter, where you can select the campaigns and publishers. In addition, filters that have already been saved (top left) and other optional filters (top right) are available.

The 1st of the previous month to today is always set in advance. By clicking on one of the date fields a calendar opens in which you can change these settings.

Time Scale In the daily statistics, there is also the option of statistics on the day - week - month - quarter - year

Comparison period
Set to compare the setting of the time scale of the previous day - previous week - previous month - previous quarter – previous year

Time This filter affects only the choice of the transactions during this period - i.e. the date of receipt - processing date – payment date of the transaction

Payout Status After approving them, the transactions have 2 different statuses.  Right after approval, these transactions can be found with:

Statistics - Explaining the filter options 


With the default filter you can also influence the issue of statistics in addition to the merchant / campaigns and publisher / project filter.

The optional filters:
Shows only the values ​​on the selected channel

Advertising Materials 
Displays the statistics on the selected advertising material

Targeted display of a utilised SubID

Shows what was produced via a special target URL from the publisher

Specifically evaluates the transaction events (triggers)

Commission group
All publishers from a commission group are taken here as a basis for evaluation.
This means you can, for example, only evaluate the cashback publisher

Information: Almost all the filters can also be combined with each other - if a filter function cannot be selected with another one, it is automatically disabled and then unavailable.
Through this variety of statistical filters, you can generate and evaluate an in-depth and targeted analysis of your partners as well as your campaign(s).

Daily Statistics

Everything at a glance - views - clicks - transactions - commissions - and divided by status.



If you would also like to have the shopping cart values displayed, click at the top below the statistic tabs on leads / sales


The statistics will be listed there separated between Trigger Type Leads / Sales.


The shopping cart values ​​can of course also be received with Leads (e.g. new customer registrations) because this also provides an additional evaluation option.

Advertiser Statistics

The advertiser statistics are of interest for the use of an easy.affiliate.advanced or .professional version. Compare the campaigns aggregated by advertiser.


Campaign Statistics

As mentioned with the advertiser statistics, this evaluation by campaigns is also really interesting only for larger easy.affiliate versions because several campaigns can be compared with each other here.
As mentioned above, these statistics are generally available, but only of interest to you in a larger version with more than one campaign. If you have any questions, please simply contact our support team.



Statistics for Advertising Material

In the advertising material statistics you can see the traffic and revenue figures on advertising broken down for the period you have chosen.


Note: If you now go to the relevant line by right clicking, you also have the option of looking up, for example, which of the publishers have generated views / clicks here - or which transactions have been generated about this advertising material.


Simply click on the now open menu item. The functionality of the right-click is applicable in all parts of the statistics.

Publisher Statistics

The publisher statistics work exactly the same way as the advertiser statistics - all projects by a publisher are summarised here.

Now receive the values ​​grouped by the individual project of a publisher for the selected period



SubID Statistics

Some publishers use what are called SubIDs when clicking on your site in order to have an assignment for themselves for a transaction. Statistics can also be compiled via these SubIDs.
All transactions that were generated without a SubID are listed under -TRACKED WITHOUT SUBID - in order to be able to present the sum of the statistics correctly.


Referrer Statistics

In the referrer stats you can see (if available) the origin of the clicks - i.e. on which (sub) page did the publisher integrate the advertising material from you and which of the publisher's pages performs the best.



Channel Statistics

This statistic shows you which (tracking) channel in the private network provides how much traffic and transactions. Publishers who are not assigned to a channel are running in the -TRACKED WITHOUT CHANNEL-


Commission Groups Statistics

All publishers will be assigned a commission group upon being activated by you. You can now view the statistics of the commission group here.
You can, for example, also evaluate how much average revenue you bring to the network - compared to the "standard partners", the credit partners and premium partners


Trigger Statistics

The trigger statistics show you how many transactions are accrued in the period with the individual, existing trigger.



Customer Journey Statistics

Traffic (views, postviews, and clicks) that is detected via our system can be viewed in the customer journey. If you have now assigned the publishers to the right channels, you can see an overview of which channels are "fighting" for the transactions. In addition, you can see how many touch points are needed for an order.




Processing transactions, viewing transactions, timed actions & TAG management (optional module) can be found below this menu item.

Transaction Approval

Here you have the opportunity to either edit the transactions manually or have them displayed, or download the total transactions for an internal balance.
Before we now go the transactions themselves, we will show you the filter options to selectively display only the transactions currently relevant to you.

Advertiser & Campaign

These two filters are also only of interest if you manage more than one partner programme here


You currently only have to perform, for example, the balance for new customers, then you can adjust the appropriate settings with the trigger filter. Multiple triggers can also be selected here.

Publisher & Project

Context: If you select the specific orders of a publisher (lower filter), you can view all transactions for which there has been a touchpoint from this publisher.

Here you can choose, for example, "transactions not assigned, but are in the customer journey" and thus see all transactions that were not generated by the publisher, but a contact point exists. 

Transaction Type

Here you can choose between Sales - Leads and bonus reservations and then view them according to filter

Action Type

Example: You have a Post View Publisher and now would like to see which of his transactions were generated by postclick. You can do this by selecting this filter.


By default "open" is always preselected here because usually you are primarily interested in outstanding transactions.

Of course, you can also view the already confirmed (= activated but not yet paid) or cancelled transactions.Transactions that have already been paid can also be selected here.

Important: All transactions can be edited as long as they have NOT been paid. If you notice an error with an already paid transaction, you must manually generate an offsetting entry as these transactions are reported accordingly in the resulting credit.

Optional Filters

If you now display the optional filter, additional filter options are also available

  • Channel: Filters all transactions that come from a certain publisher segment (channel)
  • Advertising material: Shows the transactions where we saved the corresponding advertising material in the journey as the last touchpoint. It is not mandatory to state that the product that is behind the advertising materials was also purchased.
  • SubID: Which sales were generated by the publisher via a certain SubID (e.g. cashback partners who transfer the user ID of the user cashback as the SubID
  • Referrer: Transactions that are generated via the publisher subpage: domain/shopname.html can be filtered here

Transaction Approval & Transaction Editor

If you would now like to manually activate the transaction, you can simply change the status of the corresponding transaction to Tick-circle.png activated or Cross-circle.png cancelled

- whereby in the case of a cancellation you can also specify a reason for the cancellation to the publisher.
You can simply leave transactions to wait that should not be edited according to their status.

Of course, there are always transactions that need to be subsequently corrected, if for example the shopping cart value changes. We also have a transaction editor, which you can access by clicking on the Pencil.pngpencil on the left next to the transaction date.


You can subsequently change all the information on this transaction here. In this way it is possible to also change the publisher in addition to an incorrectly set commission group.
The remuneration is automatically recalculated - in the case of a changed commission group and a modified shopping cart value in percentage remuneration.
If you do not want to automatically recalculate, disable the tick right at the top of the Editor for "Automatically calculate commission"

Finally, click on the "Save" button and the changes are live in the system.


Create Transaction

Transactions that are recorded manually by you - for example, due to an error in the tracking point the tracking pixel has not been triggered - can be recorded as follows:

What should now be considered or done:

  1. Select the campaign in which the transaction is to be entered. Now the publishers from the campaign will load

  2. Select the publisher (project) to whom you want to credit the transaction

  3. The partner's commission group will be automatically selected

  4. Select the trigger (event) for the additional entry

  5. Select whether this is a lead / sale / click

  6. Enter the order number in the order token field in your system

  7. Enter the sales transaction - for a % remuneration is required - otherwise it is optional

  8. The remuneration is - if given - automatically calculated - otherwise please enter it

  9. Enter the order time (transaction date)

  10. Status change (optional) can also be activated here already

  11. If you have a SubID for the publisher - enter it here.

The fields source / action type / referrer and action time can be disregarded; they are not necessary for a transaction

Administration - Transaction Import

Transaction lists that were previously exported by you from the system can of course be imported back after you have checked them.
This is almost inevitable especially in the case of a large number of transactions.

IMPORTANT - ONLY CSV files are possible for recovery

Step 1: Select the file and check the two fields Separator and Encapsulation - these are NOT automatically changed when reading.
Now click on Save File

Step 2: If not already automatically selected, now choose the correct fields:

When you import the exported list from us with no changes (in the column name), all fields are automatically recognised as seen above.

Is all the information correct? ==> Please now click on "Continue to preview"

Note: Please have some patience now if necessary - depending on the size of your file, this may take a little longer


Administration - Transaction Import - Step 2 - Assignment 

 Now you can preview what the importer found when checking the file.


If no ID from our system is specified in the ID field, the transactions are identified as NEW and imported into the system.
Is everything right? ==> Then confirm the security prompt that the transactions should be imported and it is now completed.

Note: Please wait now until you receive the following note - do not click multiple times on perform action. The transactions are now all recorded.
We always recommend checking under Administration! Transaction activation by marking the status filter with "ALL" and then view the time period that is in the list with your balancing.


Timed Actions

Look at the overview of all planned and former commission adjustments in the commission groups and publisher basis.
RESTORE...always means that there is a provision of the commission on the original value.



Dialogue - Publisher Mailout

You can of course also send newsletters to your publishers. This is what the dialogue system is for.

We begin here with the first section - the mailout settings. With an easy.light solution you do not need to consider sender - client - campaign because generally there is only one option here which is automatically used.
Otherwise, it is important to be careful here that you select the news for the right publisher.

Note: If you would like to send your newsletter to all publishers in the system, you do NOT need any of the listed filters - leave everything as it is on "Please select".
A selection is only necessary for a desired filtering.


If you would now like to specifically contact publisher groups, both the channel filter is available as well as the commission group filter.
It is therefore no problem to send a message only to the premium partners.


If you have adjusted all the settings and your recipients are therefore selected, you can now send the message to the partner.
If the newsletter should be sent directly, do not change the send time. Otherwise, please set the time to when the message should be sent.

Now enter the message for your publishers.


Once this is done, click on "See preview" and you will receive the confirmation of the newsletter and the list of recipients.

If everything is right, you can either first send a test newsletter to yourself or set the newsletter to be sent.

All messages sent through the system are displayed here, whether it is a newsletter sent by you, a publisher activation, or a contact request: The filter function can search for messages within a period or for recipients.
